Extended School Provision

We are extremely proud to be able to support children in extended schools care from the age of four years old and upwards. We have been able to collaborate with parents, carers and children in order to maximise the provision that we provide and cater for the needs and interests of the children at our school. We are still open to ideas from outside agencies, parents and children in order to provide an extensive and personalised extended schools provision. Extended School Provision

Rise and Shine Breakfast Club – 7:45-8:45  Please note that we are unable to accept children after 8:30 am, as this will not leave enough time for them to have their breakfast.

Children are offered a healthy, balanced breakfast before the school day begins. Children can choose from juice or milk, cereal, toast, scrambled eggs, baked beans, sausage, bacon and crumpets. There are then a range of activities available for your child to participate in. The charge is £5 per child per day. We do not offer an Ad Hoc basis; this is due to ensure children are safe, as well as for limited space and staffing.

Après School – 15:30-17:00

This exciting club offers a range of carefully selected extra-curricular activities every day. You will receive more information about these clubs throughout the year, please see below for our current list of Après School Clubs for the Autumn term. If there are any clubs which you would like to request then please contact our Extended Schools Leader here. The charge for our Après School Club are between £8 and £12 per session depending on the club chosen, this includes a light supper.

Twilight Time Monday to Thursday 17:00-18:00.  There is no Twilight session on Fridays.

Twilight Time will be led by our experienced Extended Schools team. These sessions will be less formal than the Après School Clubs, but still offer children a broad range of experiences which will appeal to their interests. Depending on the children attending, Twilight Time may involve junk modelling, improving their skills and understanding of board games or creating a birthday card for their upcoming siblings.  The charge for twilight club is £5 per day.

 2019/2020 Après School Clubs timetable

Bookings for the breakfast, after school and twilight clubs are made using booking forms.

  • Payments should be made at the beginning of the term before the club commences, your child may not be able to join the club if evidence of the payment is not given.
  • Bookings for the Breakfast and After School Clubs are made through the booking forms.
  • Once the club is booked, payments are non-refundable.
  • Bookings for the Breakfast Club are for a session and cost £5.00 per
  • Bookings for the After School Club are made for Session 1 – Après School Club (from the end of the school day up until 00 pm), Session 2 – Twilight Time (from 5.00 pm – 6.00pm Monday-Thursday) or both sessions (from the end of the school day until 6pm except Fridays).
  • The fees for the Après School Clubs are £8.00, £9.00 and £10.00, £11.00 and £12.00 per session depending on the club chosen, Twilight Time is £5.00 per session.
  • There is a charge for late collection of pupils (after 6pm). This is £5 per 15 minutes and is applied per pupil.
Additional information

Please could all children be sent to school with suitable (labelled) clothing for their after school club that day. E.g. if your child has been signed up for football then they will need their PE kit or exercise clothes and strong trainers (school shoes are not suitable). Please make sure all children are dressed appropriately for any weather as they will still be using the outdoor facilities in winter and rainy days. If you child is signed up for Arts and Crafts then old clothes are suitable.

Please note that Aprés school clubs finish at 5pm therefore could parents and carers arrive at 4.55pm to collect their children. It is important that children complete the full hour of each club as there is often a plenary at the end of each session to allow children to evaluate their learning.

Paying for extended school

In an attempt to remove all cash and cheques from school we are asking all parents to only use our e-payment method to pay for school trips, After School Clubs etc. This can be done online using a very secure website called ParentPay.

Parents who pay by Childcare Vouchers (CCV) will pay as usual but you will need to send confirmation of the amount paid to Marion at [email protected] each time you make a payment.

All parents who wish to make use of After School Club, Twilight Clubs or Breakfast will need to activate their Parent Pay account.Please remember there is no automatic renewal of clubs.

Please note if you have not cleared your account from the previous term you will not be allowed to book future school clubs for your child until your account is cleared.

If you would like your child to take part in any of the After School Activities but feel that you may need an alternative payment plan, please email Debra Cox or pop into the office to organise this as soon as possible.
We do have a small bursary and donation fund that is intended to be used to support families who find it more difficult to pay for additional activities.

EXTENDED SCHOOL PROVISION TERMS AND CONDITIONS – SPRING AND SUMMER TERM 2018/2019

These Terms and Conditions relate to Whitehall Park School’s provision of Breakfast Club, Après School Clubs and Twilight Time. By signing their completed Booking Forms, parents and carers indicate that they have read, understood and shall comply with these Terms and Conditions.

 

Extended School Provision

  • Breakfast Club runs from Monday to Friday during term-time from 7.45am – 8.45am (breakfast is not served from 8.30am, gate will not be opened from 8.25am).
  • Après School Clubs run from Monday to Friday during term-time from 3.30pm – 5pm (the school provides a snack between 3.30pm-4pm).
  • Twilight Time runs from Monday to Thursday during term-time from 5pm – 6pm during which time another snack is provided.

 

Booking

The booking system has been updated from the paper booking form procedure to an electronic system method. Parents and carers will be able to choose their preferred clubs taking into consideration that the system will automatically select the clubs once places have been filled. If the activities selected have reached their full capacity, the system will randomly allocate places according to parents’ selected choices. By ticking the appropriate box, parents and carers will have agreed with the Terms and Conditions. After submission, no changes or cancellation will be allowed.

  • Places are booked on either a termly or yearly basis. Places may not be booked individually or on an Ad hoc/pay as you go basis. This is due to ensure children are safe, as well as for limited space and staffing.
  • Places will be allocated based on the 1st, 2nd and 3rd options, taking into consideration different criteria – such as attendance, siblings, outstanding payments, etc.
  • Parents will receive a confirmation with the places they have been allocated.
  • A Twilight Time place can only be booked on a given day with an Après School Club place on the same day.

 

Payment

Payment for places must be made by the required deadline in accordance with the school’s instructions. Payments are non-refundable and non-transferable, as we have to pay the external club providers before the Term starts.

  • Payment Method:

SchoolsBuddy is the school’s preferred payment method, however if you would like to use childcare vouchers or Tax, please arrange this with the school by the required deadline.

The links for your children’s allocation will be live on the day informed by the school. Payment should be made by the required deadline.

  • Childcare Voucher (CCV)

If you choose to pay by Childcare Vouchers, we kindly ask you to reduce the number of instalment to one single payment instead of monthly. In addition, you will need to set the payments up directly with your childcare provider and inform the following details:

Once the confirmation is received, the payment will be processed on ParentPay within 48 hours.

If your childcare vouchers do not cover the total amount of your investment, you should proceed the payment of any remaining balance directly on ParentPay by the deadline informed by the school.

 

  • Tax Free Voucher (TFC)

If you choose to pay by Tax Free Vouchers, you will need to proceed the payments directly onto the Government website.

A confirmation must be sent to the Extended School email, accompanied by a screen shot of the payment.

Once the confirmation is received, the payment will be processed on ParentPay within 48 hours.

If your Tax Free vouchers do not cover the total amount of your investment, you should proceed then make payment of any remaining balance directly on ParentPay by the deadline informed by the school.

 

  • Payment Plan

Families on low incomes or who are having financial difficulties are encouraged to come and speak to the school to try and reach an appropriate arrangement. The school reserves the right to decline any request for special payment arrangements.

The payments have to be equally spread for the duration of the term and the total amount has to be settled 2 weeks prior to the end of term.

 

  • Failure to comply

Families who failure to comply with these payment terms may result in losing the place and being unable to book future places.

If you have outstanding debts in relation to Extended School Provision, you will not be able to book places going forward.

 

Amendments, Cancellations and Mid-term booking

No changes or cancellations will be allowed once the booking form is submitted to the Office.

  • Amendments
  • Yearly booking

If you chose to book your child’s clubs yearly, you may cancel any chosen club for the next term once the full payment of the ongoing term is settled.

If you wish to swap clubs, you will have to cancel the booking, under the terms stated above and submit a new booking form for the next term. The allocation will be subjected to availability.

 

  • Termly booking

If you wish to amend your booking, please be aware that it will be considered as a cancellation of the current clubs and, a new mid-term booking – under the terms stated below.

 

  • Cancellations

Cancellations of any club for the ongoing term are only allowed once the full term payment is settled. Payments are non-refundable and non-transferable.

  • Mid-term bookings

We appreciate that personal circumstances may change during the year, therefore mid-term bookings will be considered at the Extended School Leader discretion and it will subjected to availability however, please note that the full amount of the Term will be charged.

If your child joined the school in the middle of the term, please contact the Extended School Leader.

Pupil Premium and financial hardship

 

  • Children in receipt of the Pupil Premium Grant are eligible for two Après School Clubs, two Breakfast Club slots and two Twilight Time slots at a 50% discount.
  • Discounted places may be released to other children if three or more sessions are missed and this may also result in you being unable to book discounted places in the future.
  • Families on low incomes or who are having financial difficulties are encouraged to come and speak to the school to try and reach an appropriate arrangement.

 

Collection

Children may only be collected by those authorised on the school registration form. In an emergency, alternative arrangements should be made by contacting the Extended Schools Leader, either by phone or email ([email protected]). In the event that a child is not collected by 6pm, the Extended Schools Leader will contact the parents/emergency contact. In the event that they cannot be reached, the School Uncollected Child Policy will apply.

 

  • Late Collection Fee (5pm and 6pm pick up)

There is a charge for late collection of pupils of £5 for the first 15 minutes and £5 onwards every 5 minutes, applied per child.

 

General

  • Uniform

Children must bring into school the correct and weather-appropriate P.E. kit for sporting Après School Clubs.

All the sports activities from the Extended School Clubs, such as football, tag rugby, multi sports and archery will be performed outdoors no matter the weather. So, children must wear the full school PE tracksuit, a jumper and a light waterproof jacket for cold, rainy days.

 

  • Behaviour

Children are expected to demonstrate good behaviour at all times during Extended School Provision.  Where a child consistently demonstrates unacceptable behaviour, the parents and relevant staff will be involved in discussing the most appropriate response/action and may be withdrawn completely from Extended School Clubs.
